“Marked done” is not the same as done right.
Every routine, check and guest issue becomes a task with an owner, a due time, photo proof where it matters and a verification decision — by a manager, or by AI checking the photo against your own written standard. You decide which.
Overview
Sample Hotel · Saturday, 10 October 2026
Four of five criteria are met. There is no fork to the left of the plate. This is about the work, not the photo.

- WhatsApp morning reportlive at a hotel since September 2026
From assigned to visible, in four steps.
A ticked box tells you someone pressed a button. Vectis Run keeps going until the work is proven and a decision is on record.
Every task has an owner
Routines are generated each day per department, with a named person, a due time and — where it matters — a photo requirement.
Start, photo, submit
Staff open My tasks on any phone: Do this next, Start, Take photo. Minimal typing.
Checked against your standard
A manager — or AI, where an owner allows it — decides: Verify, Request rework or Request retake.
Owners see what needs them
What was missed, what is late, what is waiting for review, and where the records look unusual.
Run a task through Vectis Run yourself.
One dinner setup, start to finish: the staff phone, the AI check, who decides, what the owner sees, and the next morning’s report. Every click is written to the audit trail.
What Priya sees on her phone
The next thing to do sits at the top. Start it, take the photo, submit. The task record on the right updates as she goes.
Try it: press Start, then Take photo and pick one of four sample photos. Each one leads to a different AI outcome.
AI checks the photo against your standard
Protocol “Restaurant setup for dinner · v2” has five criteria. The AI judges each one it can see, then returns one of four outcomes: Pass, Work failure, Evidence inadequate or Uncertain.
You decide what AI may decide
An owner authorises automatic decisions protocol by protocol. Without that, every AI result waits for a person. Uncertain is never automated.
The owner sees exceptions, not noise
The Overview and AI Quality figures follow what you did in the tour. If an automatic decision was wrong, a manager records it — and it is counted.
Yesterday, on WhatsApp, every morning
At a set time, owners and managers receive a PDF of yesterday’s operations. The same report is in Reports to print, or export as PDF or CSV.
One loop, built for the way hotels actually run.
Everything is a task: created, assigned, started, proven, verified or sent back, escalated if late — and logged at every step.
Tasks and routines
Daily, weekly, monthly, quarterly or yearly routines per department, generated each day with due times and SLAs. Quick tasks for everything else.
Photo proof
On the tasks that matter, the photo is taken inside the task, on any phone. Retake and Redo are one tap.
Verification protocols
Your written standard, broken into versioned criteria. In Verification Studio, AI suggests checks; a manager writes, edits and publishes them.
AI checks, owner control
AI checks the photo criterion by criterion. Per protocol, an owner decides whether it decides or recommends. Uncertain always goes to a person.
Retake vs rework
“The photo can’t prove it” and “the work is wrong” are different decisions, tracked and counted separately.
Exceptions overview
Escalated or missed, overdue, awaiting verification, in progress. Earlier unresolved work is shown separately, never hidden.
Operational Integrity
Hourly rule-based signals on the records: completion bursts, completed on behalf, unusual timing, administrative overrides. A signal is not a conclusion.
Reports and morning report
Daily operations by property, department and person — print, PDF or CSV — plus a PDF on WhatsApp every morning.
Complaints and feedback
Complaints tracked as tasks with an owner and a deadline. Stay, dining and event feedback: staff hand their phone to the guest, and a photo can be taken on the spot.
Roles
Owner, GM, department head, supervisor and staff — each sees and does what their role needs.
Multi-property
Built for groups from day one. Switch between properties; every record and role is property-scoped.
Audit trail
Every state change is timestamped and append-only. Every AI result keeps its photo, protocol version, model and reasoning.
Checklist apps vs Vectis Run.
Many tools can attach a photo, and several now offer AI photo checks. The difference is the governed loop around the decision.
| Aspect | A typical checklist app | Vectis Run |
|---|---|---|
| What “done” means | A ticked box | A decision on record, with photo proof where it matters |
| Photos | Attached to the task | Checked against your written, versioned standard, criterion by criterion |
| When the photo can’t prove it | Often the same “reject” as bad work | Retake (the photo) and rework (the work) are separate decisions |
| AI | On or off, if offered | Owner authorises per protocol; Uncertain always goes to a person; one-click stop |
| When AI is wrong | Not always visible | “AI got this wrong” corrections recorded and measured on AI Quality |
| What managers see | Completion percentages | Exceptions: missed, late, awaiting review, unusual records |
| History | Varies | Append-only audit trail of every state change |
| Reports | Pulled from a dashboard | Also delivered as a PDF on WhatsApp every morning |

Questions owners ask.
Does the AI make decisions on its own?
Only where an owner has authorised it, protocol by protocol. Otherwise the AI recommends and a manager decides. Uncertain results always go to a person, automatic decisions can be stopped with one click, and automatic approvals are randomly audited.
What happens when the AI gets it wrong?
A manager uses “AI got this wrong” to record the right decision. The correction is kept as a new human decision, the original stays on record, and corrections are counted on the AI Quality page.
Do staff need to install an app?
No app store needed. Vectis Run works in the browser on any phone and can be installed to the home screen. It needs a connection to work.
Does it replace our PMS?
No. Vectis Run works alongside your PMS — there is nothing to rip out or replace.
Which departments can use it?
Any department’s routine: front office, F&B service, kitchen, housekeeping checks, maintenance rounds, accounts and GM duties.
We have more than one property. Does that work?
Yes. It is built for groups from day one: switch between properties, with every record and role scoped to its property.
Is Vectis Grow available?
Not yet. Vectis Grow is the next product on our roadmap. Vectis Run is available today.
